Office Secretary / Administrative Coordinator

Dr. Mold is growing, and we are looking for a dependable, organized, and motivated Secretary / Administrative Coordinator to join our team. This is an important position within our company. We need someone who can keep our office organized, communicate professionally with customers, stay on top of scheduling and paperwork, and make sure nothing falls through the cracks.

Schedule
Monday to Friday, 9:00 AM to 5:00 PM. Full time position.
Pay
Competitive pay based on experience.
Training and Remote Option
The first 30 days are completed in office for training and onboarding. After that, there may be an opportunity to work from home based on performance, reliability, and company needs.

Responsibilities Include

  • Answering incoming phone calls and responding to customer inquiries
  • Providing excellent customer service and representing Dr. Mold professionally
  • Scheduling inspections, estimates, remediation projects, and follow up appointments
  • Managing and organizing the company calendar
  • Communicating daily schedules and job information with technicians and management
  • Following up with new leads and potential customers
  • Following up on estimates that have not yet been approved
  • Following up with customers after completed projects
  • Creating and sending invoices, estimates, receipts, and other customer documents
  • Collecting payments and following up on outstanding balances
  • Keeping customer information and job files organized and up to date
  • Entering customer information, job notes, photos, and documentation into our system
  • Handling emails, text messages, and general office correspondence
  • Assisting customers with questions regarding their appointments and projects
  • Helping coordinate insurance related projects and communicating with customers when necessary
  • Keeping management updated on leads, scheduling issues, customer concerns, and outstanding items
  • Maintaining an organized office and completing general administrative duties
  • Helping with filing, scanning, printing, and document organization
  • Assisting with employee paperwork and internal company documents
  • Helping keep track of supplies and office needs
  • Working closely with ownership and our field team to keep daily operations running smoothly
  • Taking initiative and handling problems instead of waiting to be told what needs to be done

Who We Are Looking For

Experience in administrative work, customer service, scheduling, construction, restoration, insurance, home services, or Jobber is a plus, but we are willing to consider the right person who is motivated and ready to learn.
